United Grand Lodge of England seeks Records Assistant

A fantastic opportunity has arisen at Freemasons’ Hall in Covent Garden London. Home to the United Grand Lodge of England, Freemasons’ Hall is a grade II* listed, art deco masterpiece, the centre of English Freemasonry, and hosts the Museum of Freemasonry and the Library.  In 2019 there were 40,000 visitors to the Museum and Library, 120,000 visits by member for meetings and 50,000 guests attending private events.  The Open House London weekend in Sept 2019 attracted nearly 9,000 visitors over 2 days.

This role will contribute to the effective records management of the organisation reporting to the Records Manager.

 

Purpose of the role and key objectives

  • Processing backlogs of paper records.
  • Improving and enhancing existing listings and records storage
  • Participating in the digitisation process (in-house and outsourced)
  • Participating in other records management tasks

 

Main Duties

  • Sorting, listing, packaging and shelving records
  • Labelling shelves, boxes and records
  • Recording locations of records
  • Keeping an audit trail of record transactions
  • Auditing records
  • Light cleaning of documents and the removal and replacement of staples, paper clips and other items that may damage records
  • Uploading lists of records to the records management system
  • Uploading records to the records management system
  • Indexing records in the records management system
  • Improving and enhancing existing listings and records storage
  • Digitising records in-house
  • Carrying out quality checks on digitised images

 

Must have skills

  • Educated to university level degree or equivalent
  • Working in an administrative support function and experience of working with administrative records
  • An interest in archives and records management
  • Recognises the value and importance of records
  • Recognises the importance of following processes and the importance of audit trail
  • Maintains security and confidentiality
  • Methodical and organised
  • High level of accuracy and attention to detail
  • Excellent IT skills
  • Excellent practical skills with the ability to produce logical and clear solutions to problems

  • Excellent verbal and written communication skills

Salary and Benefits

Salary £30,000 (subject to experience) gross per annum plus the following benefits package:

Hours

The successful applicant will work Monday to Friday (35 hours per week)
