Maintenance Manager

To organize, plan and manage the planned and reactive maintenance activities for in a Grade II* Listed building with the in-house team and approved contractors and be involved in small works and larger projects. You will be responsible for hiring and training staff and ensuring the smooth running and upkeep or repair operations and deputizing for the Director.  The team of 11 includes Electricians, Mechanical & Plumbing, Carpentry, French Polishing, Upholsterers and Decorators 

Background

UGLE is the governing body of Freemasonry in England, Wales, the Channel Islands, the Isles of Man consisting of 48 Provinces roughly based on the old county boundaries and 32 Districts overseas. English Freemasonry is a membership organisation of 175,000 people meeting in more than 7,000 Lodges across the globe. Membership is open to any man over the age of 18 irrespective of their background, race or religion, with students also able to join one of 87 University Scheme Lodges. Metropolitan Grand Lodge & Chapter of London with over 1,250 Lodges & Chapters is based at Freemasons Hall in Covent Garden and many of their members use the building for their meetings - 8,500 per year. Freemasons’ Hall also serves as the Headquarters for English Freemasonry worldwide and has a Shop, Café & bar and Museum & Library open to our members and the public 6 days a week.

Freemasons’ Hall is a unique art deco building which can date its origins back to 1769 when Freemasons first started meeting at this site. The current building was completed in 1933 as a memorial to those who died in the Great War. It houses 22 meeting rooms including some unique spaces regularly used for major international events and as film locations. The Hall itself provides a magnificent meeting place for UK and international masonic lodges. It is open to both Freemasons and the general public who are provided with both self-guided audio tours as well as guided tours of the facilities.  The Museum of Freemasonry with one of the finest collections of masonic artefacts and archives in the world, is housed within the building.

Key Tasks:

  • Prepare and organize the regular maintenance schedules and allocate work including distribution of work, assessment of quality and amount of work, ensuring that all essential materials are available.
  • To develop and build the maintenance team, guide and provide training the team and complete annual appraisals.
  • To ensure the department is adequately resourced for the work that is required and that the work is properly organised
  • To arrange and organise third party contractors and supervise them for all installations, repairs or maintenance. 
  • To arrange and manage the inspection of and maintenance and servicing of building plant and systems (heating, ventilation, lifting equipment, lift motors, electrical supplies, fire alarm and so on).
  • Be responsible for ensuring the raising and processing of all Purchase Orders for the team.
  • Contribute and support the Director of Building Services with the development of maintenance budget and ensure compliance.
  • Be responsible for obtaining quotes, tenders and appointing contractors to carryout necessary work and tasks as agreed.
  • To provide support for and to ad-hoc projects as requested by the Director of Building Services and/or the Hall Committee. 
  • Ensure adherence to quality standards and health and safety regulations.
  • To comply with all regulatory and legislative frameworks relevant to this role.
  • To manage Health & Safety in the work place for the maintenance team and their dedicated spaces & oversee H& S compliance for any Project and third party contractors at FMH including but not limited to risk assessments for the in-house team, sit inductions for all contractors working in the building, external hirers and their suppliers using the building (eg for filming, parties, dinners, events)
  • To assist with the assessment of Health and Safety issues and to act in such a way as to ensure the health, safety and welfare of oneself as well as others. 
  • Be responsible for the creation of the planned preventative maintenance schedule and then allocation of tasks to the UGLE and third-party teams for completion and ensuring the records are updated and maintained for inspection using the software UGLE has for this purpose and keeping records in the agreed format and locations
  • To create and operate an effect system and process to inspect and oversee the services and fabric of the building and create a process to record and resolve problems.
  • To assist the Director of Building Services with the identification of potential lifecycle deficiencies, produce capital budgets to match lifecycle expectancies and keep the fixed asset register up to date
  • To work with the Director of Building Services to explore how to reduce gas and electricity consumption in FMH through changing practices, improving or changing plant and systems, alerting settings and similar. 
  • To work with the Director of Building of Building Services in relation the renewals for insurances, business rates and all utilities
  • Manage the department's controllable expenses within budget
  • Manage, motivate, develop and provide direct leadership to maintenance staff.
  • Inspect and maintain building systems such as heating, electrical, air conditioning ventilation etc.
  • Regularly check and inspect the materials and tools inventory for the team and arrange for replacement stocks as Perform periodic inspections of recently maintained equipment so as to observe the quality of the maintenance performed and the operating condition of the equipment
  • To assist the Director of Building Services with providing feasibility studies, specifications and drawings with sufficient accuracy for decision making.
  • Assist our Electricians with lighting and Electrical design when required.
  • To provide good communication when completing jobs and tasks.
  • Be prepared to help and manually hands on if absolutely necessary. 
  • Carry out any other activities, duties and tasks as directed.
  • Seek continuous improvement in performance and quality standards of the UGLE teams and self.
  • Be the Deputy Responsible Person for Health & Safety, Water Management including Legionella, Asbestos Management

The Successful Applicant would have:

  • Minimum 4 years industry experience, operating at similar level of responsibility (supervisory/managerial)
  • Relevant technical experience in a working environment
  • Proven managerial experience of a large team including the ability to coach, teach, train and mentor others 
  • IOSH / NEBOSH General Certificate is desired
  • Membership of IWFM or other recognised professional body
  • Customer and Client focused

Hours of work:

35 hours per week with some evening and weekend attendance/work as required
